Customer Service Coordinator

Job Summary & Minimum Requirements:
Spectrum is the preferred Herman Miller office furniture dealership in the Philadelphia metropolitan area. We seek to hire a full-time Customer Service Coordinator to work forty (40) hours per week at our showroom/office in King of Prussia, PA. Duties will include coordinating information between internal departments, gathering customer information, performing inside sales, quote generation, preparing information for order entry, and preparing jobs for invoicing. Individual must be able to work well in a team environment, have excellent customer service, written and verbal communication skills, and be able to handle multiple responsibilities with conflicting priorities. Strong computer and interpersonal skills are required.
Previous experience working in a customer service-related or sales support position is needed.
Qualifications, Education, Relevant Business & Technical Skills:
- High school diploma required. Associate’s degree in business-related field or equivalent experience preferred.
- Minimum two (2) years experience in furniture industry, inside sales and/or customer service.
- Strong interpersonal and communication skills to interface effectively with a wide range of people.
- Demonstrated computer proficiency with Microsoft Office applications.
- Demonstrated commitment to professionalism, integrity, sound judgment and customer satisfaction.
- Strong organizational and time management skills to handle a high volume of detailed transactions accurately.
- Ability to work under pressure while maintaining composure and consideration for customers and employees.
- Ability to self-motivate, gather and document information.
- Ability to work as a team player.
- The flexibility to handle crisis situations and meet deadlines.
- Must attend all scheduled and/or required departmental and company meetings, training programs, etc.
- Ability to provide one’s own transportation for local business related purposes, and the ability to travel out of state as required.
- Demonstrated proficiency in the following areas:
- CAP Worksheet, Z-axis or similar applications
- Microsoft Office (Word, Excel, etc.)

Relevant Business & Technical Skills:
Ability to perform simple arithmetic such as addition, subtraction, multiplication and division. Ability to apply logic and understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Work Environment:
The physical environment is consistent with most professional service organizations. The noise level in the work environment is usually quiet.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to walk; sit; use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to stand. Project Manager (National Client; non-IT)
Location: This position is based in King of Prussia, PA; however, it will require 30% regional travel and 70% national travel.

Job Description:
Spectrum, A Herman Miller Dealer is a commercial furniture dealership with customers located throughout Southeastern PA, Southern NJ, Delaware and northern Maryland. The Project Manager (PM) will support a key health-care client with facilities located throughout the United States. The client is a health-care management company operating acute care hospitals, behavioral health facilities and ambulatory centers throughout the United States, in Puerto Rico and the U.S. Virgin Islands. The Project Manager will coordinate and direct the resources required to implement timely and well-managed installations for the customer’s projects. Additionally, the PM will provide pre-sales project management support while maintaining a high level of customer service at all times.
Job Duties:
- Attends pre-order meetings, both internal and external, to organize project logistics for multiple sites, and determine the scope and schedules.
- Consults with Sales, Sales Operations and other dealerships in preparing labor estimates and determining the source of labor.
- Is familiar with product specifications as they relate to drawings.
- Determines the various schedules of product deliveries and works with Sales Operations in the preparation of purchase orders to vendors.
- Attends all required customer project meetings, both local and national.
- Provides order status information to client on a frequent basis.
- Communicates with vendors and all other construction trades on projects.
- Establishes and tracks schedules in order to meet the client’s critical dates.
- Coordinates installation with the warehouse, manufacturer direct ships, and customers.
- Tracks costs and maintains profitability.
- Tracks project information so that the Sales team and customer are consistently provided with current information about the status of on-going and upcoming projects. Keeps updated on product knowledge and lead times.
- Maintains an on-site presence during installations, both local and national.
- Manages change orders.
- Ensures the timely resolution of punch lists.
- Prepares and provides complete information for invoicing.
- Communicates with internal team when projects are complete and invoiced.
- Is able to work independently with minimum supervision.
- As required, attends on-going product and program training.
Qualifications, Education, Relevant Business & Technical Skills:
- High School degree or equivalent. Some college experience coursework is a plus.
- Minimum five (5) years experience in Project Management or in a related position, preferably for a large customer with national sites.
- Excellent interpersonal skills, verbal and written communication skills, and problem solving skills.
- Exceptional organizational and time management skills.
- Ability to gather and document information.
- Ability to manage and prioritize multiple tasks in a short period of time.
- Ability to work as a team player.
- Flexible nature to be able to handle crisis situations and meet deadlines.
- Ability to attend all scheduled meetings and training programs required by team and company.
- Ability to provide one’s own transportation for local business related purposes, and the ability to travel to out-of-state sites, as needed.

The physical environment in the field is consistent with building construction or renovation: dust, dirt, noise and hazardous conditions are normal conditions, generally requiring a hard hat, goggles and safety shoes.
